About the Role

General Job Summary: This position is responsible for coordinating various human resources and bookkeeping activities as well as general office management duties.

Primary Duties and Responsibilities:

Human Resources

Assists with new hire onboarding including preparation of offer letters, payroll and benefits setup, background checks, I-9 verification and other tasks associated with new hire orientation.
Maintains accurate and up-to-date employee files
Runs bi-weekly payroll. Works with leadership team to ensure time and attendance information is accurate.
Collects and reports data and employee census information for retirement plan, compliance reports, etc.
Serves as a point person for employees regarding benefit changes and updates, payroll system updates, etc.

Bookkeeping:

Processes vendor payments weekly, ensuring timely payment of vendor invoices.
Prepare bank deposits and make bank runs.
Review incoming bank and credit card transactions for appropriate coding and G/L classification.
Works with accountants to research and reconcile revenue and expense transactions. Collect and submit information to accountants for month-end reporting.

General Office Duties:

Orders office and general supplies (janitorial, printing, etc.).
Serves as point person for facility and equipment service requests (copiers, computers, maintenance, etc.).
Serves as point person for release of information (ROI) vendor. Upload requests and follow-up on requests when necessary.
Monitor e-faxes and route/distribute appropriately.
Coordinate office activities associated with employee birthdays, work anniversaries and special events.
Process, sort and distribute incoming mail.
Pick up and deliver to/from clinic sites when needed.

Requirements

Education: High school diploma or equivalent. Some college preferred.


Experience: Minimum two years as administrative assistant, office coordinator or office manager preferred, including one year with a health care organization (preferred).  Quickbooks Online experience preferred.
